A planning timeline for school and university group travel

The short version

  • Start international or large-group trips 9 to 12 months out, and domestic group air 4 to 6 months out.
  • Board approvals, name lists and ID checks are the deadlines that most often slip.
  • One point of contact on your side and one on ours keeps everyone on the same page.

Group trips for schools and universities have more stakeholders than almost any other kind of travel: travelers, chaperones or faculty leads, parents, administrators, finance offices and sometimes a school board. The trips that go smoothly have one thing in common. The deadlines were set before anyone started packing.

Here's a timeline we use as a starting point. Adjust it to your district's or institution's rules. Your policy always comes first.

9 to 12 months out

  • Confirm the event, dates and rough group size.
  • For international trips, check that every traveler has a passport or has time to get one. Passport processing times change, so check the State Department's current estimates.
  • Start the approval process your district or institution requires, such as board approval, a travel request or an international travel review.
  • Ask us to hold group space if the trip lands near a big event or a busy travel period.

4 to 6 months out

  • Request group air. Airlines typically handle bookings of ten or more travelers through group desks, with their own terms for deposits and name changes.
  • Book hotel room blocks and ground transportation.
  • Set the chaperone or supervisor ratio your policy requires and confirm who's going.
  • Agree on a budget per traveler, including meals and incidentals.

6 to 8 weeks out

  • Send the final name list, exactly as each name appears on ID.
  • Check IDs. Adults flying domestically need a REAL ID or another accepted ID. TSA doesn't require ID for travelers under 18 on domestic flights, but airlines may have their own rules. For more, see our post on REAL ID and the TSA ConfirmID fee.
  • Collect emergency contacts and any medical or accessibility needs through your own district or institution process.
  • Confirm how meals will be handled and who holds the payment card on the road.

The last two weeks

  • Share a one-page itinerary with travelers, chaperones and families.
  • Confirm who to call if a flight is delayed or canceled. When you book with us, that's us.
  • Check the weather and any airport or road disruptions near departure.

What makes the difference

Group travel goes wrong in small ways: one misspelled name, one late approval, one traveler without the right ID. Having one person on your side and one on ours who own the details prevents most of it.
